DriveX Solutions (“DriveX”, “we”, “us”, or “our”) operates the fuelX fuel discount card program, the website at drivexsolutions.com, and related software, including our integration with Intuit QuickBooks (together, the “Services”). This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have.
By using the Services, you agree to the collection and use of information as described in this Privacy Policy. If you do not agree, please do not use the Services.
1. Scope of this policy
This policy applies to information collected through the Services, including the fuelX card application, your fuelX account, the drivexsolutions.com website, our customer support channels, and any software we provide that connects to third-party platforms such as QuickBooks Online. It does not apply to the practices of fuel networks, truck stops, banks, or other companies we do not control, even if you reach them through the Services.
2. Information we collect
Information you provide to us. When you apply for a fuelX card, create an account, or contact us, we may collect:
- Contact details such as your name, business name, mailing address, email address, and phone number.
- Business and regulatory details such as your USDOT number, Motor Carrier (MC) number, Employer Identification Number (EIN), fleet size, and vehicle information.
- Identity and credit information needed to evaluate your application, which may include a government-issued ID, Social Security number for sole proprietors, and bank or credit references.
- Billing and payment information such as bank account details for ACH payments, or payment card details, which are processed by our payment providers.
- Driver and card user information you provide so we can issue cards and set purchase controls.
- The contents of messages you send us, including support requests and feedback.
Information collected automatically. When you use the Services, we and our service providers automatically collect device and usage data such as IP address, browser type, operating system, referring pages, pages viewed, dates and times of access, and approximate location derived from your IP address.
Transaction information. When a fuelX card is used, we receive transaction data from the fuel network and card issuer, including the merchant location, date and time, fuel type, gallons, price, discount applied, odometer or unit number if entered, and the card or driver identifier.
Information from third parties. We may receive information about you from fuel networks and card issuing partners, credit bureaus and verification services, your employer or fleet manager, and publicly available sources such as FMCSA records.
3. QuickBooks integration data
If you choose to connect your QuickBooks Online company to the Services, you authorize us to access certain data in your QuickBooks account through Intuit’s API. Depending on the features you enable, this may include your company profile, chart of accounts, vendors, customers, invoices, bills, payments, and transaction records.
We use QuickBooks data only to provide the integration you requested, for example to record fuel purchases and fuelX invoices as expenses or bills in your books, to reconcile payments, and to display synced records in your fuelX account. We do not sell QuickBooks data, use it for advertising, or share it with third parties except as needed to operate the integration.
You can disconnect the integration at any time from your fuelX account or from the Intuit App Center. When you disconnect, we stop accessing your QuickBooks account and delete the access tokens. Data already synced into your QuickBooks company remains there under your control. Your use of QuickBooks is also governed by Intuit’s own terms and privacy statement.
4. How we use information
We use the information we collect to:
- Evaluate and process fuelX card applications, verify identity and business authority, and set credit terms.
- Issue and manage cards, apply discounts, process transactions, and generate statements and invoices.
- Bill you, collect amounts owed, and prevent fraud, misuse, and unauthorized transactions.
- Provide, maintain, and improve the Services, including the QuickBooks integration and the website.
- Respond to your requests and provide customer support.
- Send transactional and service messages, such as application status, statements, and security alerts.
- Send marketing communications about products and offers, where permitted and subject to your opt-out rights.
- Analyze usage so we can understand how the Services are used and make them better.
- Comply with legal obligations and enforce our agreements.
5. How we share information
We do not sell your personal information. We share it only as described here:
- Fuel network and card partners. Card issuers, fuel networks, and participating truck stops receive the information needed to issue cards, authorize purchases, apply discounts, and settle transactions.
- Service providers. Companies that perform services for us, such as payment processing, credit and identity verification, hosting, analytics, email and SMS delivery, and customer support. They may use your information only to provide those services.
- Intuit. When you connect QuickBooks, information flows between the Services and your QuickBooks company as described in Section 3.
- Affiliates. Companies under common ownership or control with DriveX, who must follow this Privacy Policy.
- Your fleet or employer. If a card is issued under a fleet account, the account owner can see transaction and driver information related to that account.
- Legal and safety. When required by law, subpoena, or government request, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others, or to investigate fraud.
- Business transfers. In connection with a merger, acquisition, financing, or sale of all or part of our business, your information may be transferred as a business asset.
- With your consent. For any other purpose you authorize.
6. Cookies and tracking
We use cookies and similar technologies to keep you signed in, remember your preferences, measure site traffic, and understand how visitors use the website. You can control cookies through your browser settings. If you disable cookies, some parts of the Services may not work properly. We do not currently respond to browser “Do Not Track” signals.
7. Text messages and communications
If you provide a mobile number and opt in, we may send you text (SMS) messages about your application, account activity, and offers. Consent to receive marketing texts is not a condition of obtaining a fuelX card. Message and data rates may apply. You can opt out at any time by replying STOP to any message. We do not share mobile phone numbers or SMS opt-in data with third parties for their marketing purposes.
You may unsubscribe from marketing emails using the link in any email. We may still send you non-promotional messages about your account, statements, and the Services.
8. Data retention
We keep personal information for as long as your account is active or as needed to provide the Services, and afterward as required to meet legal, accounting, tax, and regulatory obligations, resolve disputes, and enforce our agreements. Transaction and billing records are generally retained for at least seven years. QuickBooks access tokens are deleted when you disconnect the integration.
9. Security
We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit using TLS, access controls, and secure storage of credentials. Payment card and bank details are handled by PCI-compliant payment providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please keep your account credentials confidential and tell us right away if you suspect unauthorized access.
10. Your rights and choices
You can access and update most account information by signing in to your fuelX account or by contacting us. Depending on where you live, you may also have the right to request a copy of the personal information we hold about you, ask us to correct or delete it, or object to certain uses. To make a request, contact us using the details in Section 16. We will verify your identity before responding and will reply within the time required by applicable law. We may be unable to delete information we are required to keep for legal or contractual reasons.
11. California residents
If you are a California resident, you have the right under the California Consumer Privacy Act to know what personal information we collect, use, and disclose, to request deletion, to correct inaccurate information, and to not be discriminated against for exercising these rights. We do not sell or share personal information for cross-context behavioral advertising. You may designate an authorized agent to make a request on your behalf. To exercise your rights, contact us using the details in Section 16.
12. Children
The Services are intended for businesses and adults aged 18 and older. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it.
13. Third-party sites
The Services may link to websites and services operated by others, including fuel networks, Intuit, and application forms hosted by third-party providers. We are not responsible for the privacy practices of those sites. We encourage you to review their privacy policies.
14. International users
The Services are operated from the United States and intended for users in the United States. If you access the Services from outside the United States, you understand that your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country.
15. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will post the revised policy on this page and update the “Last updated” date. If the changes are material, we will provide additional notice, such as by email or a notice on our website. Your continued use of the Services after changes take effect means you accept the revised policy.
